For cities, towns and public boards

Residents can find the meeting, the agenda and the right person to call.

We act as the IT department for small local governments and public boards. We look after your email, computers, phones, backups and website, so residents can find what they need and your staff can get on with the work.

What residents look for

A clear website is part of public service.

People check the website for the next meeting, the agenda, past minutes, who to call and how to sign up for something. When those are easy to find, the phone rings less and people trust the office more.

We keep your meeting schedule, documents, calendar and contact page current, so the right person is always one click away.

What stops a week at the office

The small failures staff and residents notice.

  • An agenda or notice that is late, missing or on an old page.
  • A former board member or employee who still has access to email and files.
  • The clerk's computer is down on the day a record is needed.
  • Minutes, permits and records in one place, with no tested backup.

When something stops and you cannot tell if it is the computer, the internet or the phones, wouldn't it be nice to have just one number to call? (316) 347-7630

Managed phone system

Residents get an answer, and the right person gets the message.

Much of what residents call about is on a short list: when the next meeting is, office hours, how to pay a bill, where to find a form, and who handles what. Our managed phone system answers those in a friendly, conversational way. We load in whatever you want it to know ahead of time, and it can read everything on your website too. Anything it cannot answer goes to you as a message with the caller's details.

For anything that needs a person, it can find out what the call is about and pass the message to the right desk. The clerk and front office get their time back for the work only they can do.

What a free look covers

Do you look like an easy target?

All we need is your web address, the part after the @ in your email, like yourcompany.com. No passwords, no logins, nothing to install. We look at your website and email the way a scammer would, from the outside:

  1. Can someone send an email that looks like it came from your office?
  2. What can anyone learn about you just by looking at your website and email settings?
  3. Does your website show the right meeting dates, phone numbers and contacts?

You get a short report in plain words. You can give it to whoever looks after your computers, or to us.

Boards, committees and volunteers

People come and go. Access should not.

Public boards change members, and volunteers help for a season. Each one gets an email address, a login or a shared folder.

We set up who can see what, and we remove access the day someone steps down.

Payments and vendors

An email that looks like it came from you.

If your email is not set up right, a scammer can send a message that looks like it came from your office. A vendor or a resident gets payment details that are not yours.

We set up your email so it is much harder for anyone to pretend to be you, and we keep checking. We also back up your files to your own online storage, away from the office, and check on a regular schedule. We do not keep your files ourselves.

We run our own company on the same setup we manage for clients.

See what a scammer sees.

Send us your web address and nothing else. There is no obligation, and the report is yours either way.
