Equipment transitions

When someone leaves, their laptop shouldn't become your problem.

No office to route it through. It's wherever they left it -- until somebody remembers it still has your data on it. We turn that into a real decision instead of a lingering one.

Why this exists

A remote team doesn't have a closet to put this in.

If everyone works from home or the field, there's no office to ship a laptop back to and no IT desk to hand it to. It ends up sitting wherever the last person left it -- sometimes for months -- still signed in, still holding files, still technically yours. Nobody decided to leave it that way. There was just never a real place for it to go.

What we actually do

Two real outcomes, not a maybe.

Every machine that comes back to us ends up one of two places: ready for the next person, or safely held until you need it. We don't ship labels and hope -- the machine comes to us first, so we can verify it works and get it right before it goes anywhere else.

Redeploy

It comes back to us, we check that it actually still works, and we wipe it clean -- real, documented data destruction, not a factory reset and a shrug. You get written documentation confirming the wipe once it's done.

If you already know who's getting it next, we go further: sign in as them, install what they use, set it up the way your team runs -- so what ships is ready to open and work, not just wiped.

Hold

Not ready to decide who's next? It sits with us -- cool, dry, on a real rack, not a garage floor -- until you are. Most businesses keep a handful of spares on hand for exactly this; there's no rush and no pressure to decide today. The first 30 days are included; after that it's $40/month, for as long as you need -- there's no time limit, and we never destroy a device on our own timeline. If you eventually decide against holding it further, worst case it just ships back to you; the round-trip shipping fee already covers that.

Not worth keeping?

Tell us to let it go and we destroy the drive and dispose of the electronics -- real, documented data destruction, not delete-and-hope. No extra charge: the same fee that would have covered shipping it back out covers this instead.

Prefer to handle disposal yourself? That's fine too -- just pull the hard drive first and destroy or dispose of it separately before the rest of the machine goes anywhere.

The process

Five steps, start to finish

How this is priced

Billed separately from your retainer

This is real, separate work -- shipping, physical handling, storage -- not something that comes out of your support hours. Priced and billed on its own, the same way site hosting is kept apart from IT support, so using one never affects the other.

Shipping, round trip

$30–50

Invoiced at intake, due on receipt -- covers it coming to us and going back out, whenever that is. Actual carrier cost, no markup. If it ends up disposed instead, this same fee covers the drive destruction -- nothing extra either way.

We send a prepaid label both directions. Reuse the box it arrived in if you still have it; if not, we can send a replacement box for an added cost.

Redeployment

$225 / device

Verified, wiped, and set up for the next person -- invoiced the day it's scheduled, due on receipt.

Holding

$40 / month

First 30 days included, then this rate for as long as it sits with us -- no time limit. Covers up to 10 units on hand -- most clients never come close to needing more.
