What else we can do

We can look after much of your technology.

The services we provide depend on the service plan or project scope you choose. The examples below describe services we offer; not every service is included in every plan.

Our services

Pick one, or let us take care of all of it.

One place to call for the systems we support

When something stops working, covered users contact us directly. You do not have to figure out if it is the computer, the software, the internet or the router, and you do not have to call four different companies.

Under an agreed support plan, we handle the support requests for the systems and users covered.

Someone to ask before you buy

Thinking about new computers, new software, or a tool you read about? Ask us first. We tell you what you need and what you do not, in plain words, and we help you plan ahead.

Email that is much harder to fake

Right now, a scammer may be able to send a message that looks like it came from you. We help configure your email domain's authentication settings to make that harder to do. We also help keep junk and fake messages out of your inbox.

We work with Microsoft 365, Google Workspace and many other email providers, so we can protect the email you already use. If we host your website, we can provide your email too, so it all comes from one place, Eligible TrubeTech website-hosting plans can include up to 20 hosted email accounts; see the applicable plan or proposal for mailbox limits, features, and additional-account pricing. If you use Microsoft 365, Google Workspace or a similar platform, you pay for those licenses, and we manage it for you.

We periodically re-check those settings for the domains in scope.

Computers looked after, updates and security fixes included

Computers need updates all the time, and missing security updates and unsupported software can leave known security weaknesses unaddressed. For computers covered by your plan, we deploy available updates and security fixes and check whether they installed.

For covered computers, we look for security weaknesses and help remediate the issues we identify, subject to the systems, software, and services within our scope. We help keep antivirus running where included, and we help enforce multifactor sign-in for supported systems we manage where available.

When a computer is slow or acting strange, we look at it and fix it.

Backups, and checking them

We can configure backup or file-protection services for the systems and data included in your service plan. Where appropriate, backups may use storage in accounts your business controls. Coverage, retention, recovery options, and any third-party storage costs depend on the backup service selected. When we use customer-controlled backup storage, the backup data remains in your account rather than a TrubeTech-owned backup repository.

Where backup monitoring is part of your plan, we monitor covered backup jobs for failures.

Business phones that ring where you are

A call to your office number can ring at your desk, on your cell phone, or at home. Your callers see your business number, not your personal one.

With one of the business phone services we recommend, calls can be recorded or transcribed when that feature is enabled, with a short summary sent to you. Availability depends on the phone service and configuration, and call recording or transcription may require notice or consent, so you can catch up on anything you missed. When you cannot pick up, the phone can answer, take a message and send it to you.

Your phone menu and call routing can be set to change for business hours and holidays, so callers hear the right greeting and are sent to the right person when the office is closed. We set it up and look after it for the services we manage.

A website designed for you, looked after, and easy to find

We design and build your website from scratch, made for your business and not copied from a template. It keeps your logo and photos, is easy to read on a phone, and has a contact form that blocks spam. Before it goes live, you see it first, and nothing changes until you say so.

Many people think a website is finished once it goes up. It is not. Sites need updates, security checks and backups, just like your computers. For websites covered by our website-management service, we handle agreed maintenance such as software updates, backups, and security checks.

We also set up the things that help people find you. That means the settings behind your site that help search engines understand who you are and where you work, known as search engine optimization, or SEO. No one can promise a search ranking, but we address the technical issues we find that could hold you back.

Your business on the web: listings and registrations

Your business shows up in many places online: search sites, map apps, business directories, and more. If your name, address or phone number is wrong or different in any of them, customers get confused and search engines may show you less.

We help claim and set up relevant business listings, submit corrections, and work to keep the information consistent. Some listings and changes require verification or approval by the directory or platform. When something changes, like a new phone number or new hours, we update the listings we manage and submit changes to supported third-party services.

Social media, posted for you

We need you to give us the content: the news, the photos, the things you want people to know. We do the rest.

We create the graphics and videos, draft the posts, and schedule approved content to the social media pages included in your service, so your pages stay active.

New people, set up right

When someone new starts, we create their work account and email in Microsoft 365 or Google Workspace, give them the access and programs your business approves, and set up their computer, phone and files. Give us the new employee's details, required access, equipment needs, and enough lead time so they can be ready on day one.

We turn on the extra sign-in step that keeps their account safe, give them access to the files and folders your business approves for their role, and set up their email signature. Then we walk them through it the first time they sign in, so no one is left guessing.

Your accounts stay yours, and we keep track of every one

Your business accounts stay under your company's control. Wherever the provider allows it, we set them up in your company's name rather than ours, and we manage them for you.

We create each account through one company IT address, then hand out accounts to the people who need them. That way they never belong to one employee's personal email, and you are not locked out of your own systems.

The important part is keeping track. We keep an inventory of the managed accounts we know about. When someone leaves, that makes it easier to find and shut off their access, and less likely that a former employee keeps access to a system nobody knew to turn off.

Computers ready the day someone starts

For supported vendors and configurations, we can help you set up a business account with a computer seller so new computers can be shipped straight to your new hire already enrolled. Some user-specific setup may still be required.

If device storage is included in your service, when someone leaves we can wipe, refresh and store their computer so it is ready for the next person.

When someone leaves

When an authorized contact asks us, we disable the departing user's managed access, so they cannot read your files or send mail as your office.

At your direction, we can preserve a departing employee's business email, give their manager access, and turn on an automatic reply. We can also remove them from other business programs we manage, so you can stop paying for seats no one is using. If they return later, we provision the access approved for their new role.

A checkup and a short report on your IT

On the schedule stated in your agreement, we look over your accounts, computers and security. We check who is signing in, who has not signed in for a long time, and which licenses appear unused or underused so you can review them.

We can then send you a short report in plain words. It tells you what is working, what is not, and what you can do to make things better.

It can also point out possible savings, like subscriptions you may be able to cancel or plans that may cost more than you need.

Passwords and locked-out people

Forgot a password? Locked out? Got a new phone? We help you get back in.

For supported systems we manage, we help enforce and monitor multifactor authentication where available, and we follow up with users who have not enabled it.

Files, folders and who can see them

We configure access to shared folders based on the permissions you approve. When someone needs access to a folder, or needs to lose it, we change it on your authorized request.

If the affected data is covered by your backup or retention service, we can attempt recovery within that service's available retention period.

Everyday help

An email that did not arrive. A real message caught in the spam filter. A phone that will not sync, a printer that will not print, a meeting that will not start. We help with the small things that slow your day, within the support terms of your plan.

Not sure which one you need? Call us and we will help you work it out. (316) 347-7630

We run our own company on the same setup we manage for clients.

Not sure where to start?

Start with the free look. Send us your web address and nothing else. We will tell you what we find, in plain words, and there is no obligation.
