What else we can do

We can look after much of your technology.

The services we provide depend on the service plan or project scope you choose. The examples below describe services we offer; not every service is included in every plan.

Our services

Pick one, or let us take care of all of it.

One place to call for the systems we support

When something stops working, covered users contact us directly. For covered systems, you can start with us instead of figuring out whether the issue is the computer, software, internet connection, router, or another supported component. When another provider is involved, we help coordinate the support process within the scope of your service agreement.

Under an agreed support plan, we handle the support requests for the systems and users covered.

Someone to ask before you buy

Thinking about new computers, new software, or a tool you read about? Ask us first. We help you understand what fits your needs, what may be unnecessary, and how to plan ahead, in plain words.

Email authentication that helps protect your domain from unauthorized use

Without appropriate email authentication, scammers may be able to send messages that appear to come from your domain. We help configure your email domain's authentication settings to make that harder to do. We also help configure and manage supported protections intended to reduce junk and fraudulent messages reaching your inbox.

We work with Microsoft 365, Google Workspace, and other supported email providers. We can tell you which security settings we can manage for your current service. If we host your website, eligible TrubeTech website-hosting plans can also include hosted email. Mailbox limits, features, and additional-account pricing are defined in your service agreement. If you use Microsoft 365, Google Workspace or a similar platform, you pay for those licenses, and we manage the services and settings included in your agreed scope.

Where recurring checks are included, we re-check those settings as defined in your service agreement.

Update and security-fix management for covered computers, where included

Computers need updates all the time, and missing security updates and unsupported software can leave known security weaknesses unaddressed. For covered computers, we deploy and check applicable updates and security fixes included in your service agreement.

For covered computers, we perform the security checks included in your service plan and help remediate issues those checks identify, subject to the systems, software, and services within our scope. We help keep antivirus running where included, and we help configure multifactor sign-in for supported systems we manage, including enforcing it where that capability is available and within our agreed administrative scope.

When a covered computer is slow or acting strange, we troubleshoot it and work to resolve issues within the scope of your service plan.

Backups, and checking them

We can configure backup or file-protection services for the systems and data included in your service plan. Where appropriate, backups may use storage in accounts your business controls. Coverage, retention, recovery options, and any third-party storage costs depend on the backup service selected. When we use customer-controlled backup storage, the backup data remains in your account rather than a TrubeTech-owned backup repository.

Where backup monitoring is part of your plan, we monitor covered backup jobs for failures, on the agreed schedule. Backup checks do not guarantee that a backup will succeed or that data can be recovered.

Business phones that ring where you are

A call to your office number can ring at your desk, on your cell phone, or at home. Depending on the phone service and its configuration, callers can see your business number instead of your personal one.

With one of the business phone services we recommend, calls can be recorded or transcribed when those features are enabled, and supported configurations may also provide a call summary. Availability depends on the phone service and configuration. Call recording or transcription may be subject to notice or consent requirements that vary by jurisdiction. Because calls can involve people in more than one jurisdiction, recording and transcription should be configured and used in accordance with applicable notice and consent requirements. A conservative practice is to provide notice and obtain any required consent before recording or transcription begins. Where included in your service, call recording or transcription can make it easier to review a call later. Recording and transcription features must be used in accordance with applicable notice, consent, privacy, and recording laws. When you cannot pick up, the phone can answer, take a message and send it to you.

Your phone menu and call routing can be set to change for business hours and holidays, so callers hear the right greeting and are sent to the right person when the office is closed. We set it up and look after it for the services we manage.

A website designed for you, looked after, and built for your customers

We design and build your website for your business, using your branding, content, and photos. It keeps your logo and photos, is easy to read on a phone, and, where included in the project scope, has a contact form with spam protection. For website projects where launch approval is included in the agreed scope, you see the new site before launch, and we do not publish it until you approve it.

Many people think a website is finished once it goes up. It is not. Websites need ongoing care, which can include updates, security checks, and backups depending on how the site is built and hosted. For websites covered by our website-management service, we handle agreed maintenance such as software updates, backups, and security checks.

When included in your scope, we review the technical settings behind your site that search engines read, known as search engine optimization, or SEO. No one can promise a search ranking.

Your business on the web: listings and registrations

Your business shows up in many places online: search sites, map apps, business directories, and more. If your name, address or phone number is wrong or different in any of them, customers can have trouble finding or contacting you, and the information shown by search and mapping services may be inaccurate.

We help claim and set up relevant business listings, submit corrections, and work to keep the information consistent. Some listings and changes require verification or approval by the directory or platform. When you tell us about a change, such as a new phone number or new hours, we update listings we directly manage where applicable and submit requested changes to supported third-party services. Publication and approval of third-party changes remain subject to those services’ processes and requirements.

Social media, posted for you

We need you to give us the content: the news, the photos, the things you want people to know. We turn that material into approved social posts.

We create the graphics and videos, draft the posts, and schedule approved content to the social media pages included in your service.

New people, set up right

For onboarding covered by your managed IT service, we create the new user's supported work account and email in Microsoft 365 or Google Workspace and configure the approved access, applications, devices, and files included in your scope. Send us the new hire's details, required access, and equipment needs as early as possible so we can prepare the managed IT access and equipment included in your service for their start date.

Where supported and authorized, we enable an additional sign-in verification method for the managed account, give them access to the files and folders your business approves for their role, and set up their email signature. When included in the onboarding scope, we can also help the new user through their first sign-in and initial setup.

We help keep your supported business accounts under company control

For the business accounts we manage, we use company-controlled ownership and administrative access wherever the provider supports it.

Where the provider supports it, we create and manage business accounts through a company-controlled IT address rather than an employee's personal email. That helps keep business accounts under company control and reduces dependence on an individual employee's personal email.

Keeping track of the accounts included in the managed scope is an important part of account administration. As part of the managed scope, we can maintain an inventory of the business accounts we manage. When someone leaves, that helps us find the accounts we know about when access needs to be reviewed or shut off.

New-employee computer setup

For supported vendors and configurations, we can help establish a business purchasing account and arrange for eligible new computers to be shipped directly to your new hire with supported business setup performed in advance where available. Additional setup may be required after delivery.

If device storage is included in your service, at your direction we can wipe and refresh a returned computer and store it for reassignment.

When someone leaves

When an authorized contact asks us, we work to disable the departing user's managed accounts and, where supported, revoke active sessions and other managed access. This work is limited to the systems and access included in your service.

At your direction, we can preserve a departing employee's business email, provide access to an authorized person you designate, and turn on an automatic reply. We can also remove their access from other business programs we manage and, where applicable, identify licenses or seats that may no longer be needed so you can review them for reassignment or cancellation. If they return later, we provision the access approved for their new role.

A checkup and a short report on your IT

On the schedule stated in your agreement, we review the supported accounts, computers, and security information included in your service. We review available sign-in activity within the supported systems and administrative scope covered by your agreement, inactive accounts, and licenses that appear unused or underused so you can review them.

We can then send you a short report in plain words. It summarizes what we found, any issues we identified, and practical steps you can consider.

It can also identify subscriptions or licenses that appear unused or underused so you can review whether they should be reassigned, changed, or canceled.

Passwords and locked-out people

Forgot a password? Locked out? Got a new phone? After appropriate verification, we help authorized users regain access to the managed accounts we support.

For supported systems we manage, we help configure multifactor authentication, including enforcing it where that capability is available and within our agreed administrative scope. Where included in your service agreement, and where the supported system makes that information available to us, we monitor available multifactor-authentication enrollment status and notify the customer or affected authorized users when enrollment appears incomplete, as provided in the service agreement.

Files, folders and who can see them

We configure access to shared folders based on authorized requests under the process defined in your service agreement. When someone needs access to a folder, or needs to lose it, we change it on your authorized request.

If the affected data is covered by your backup or retention service, we can attempt recovery subject to the capabilities and limitations of that service, including its available retention period.

Everyday help

An email that did not arrive. A real message caught in the spam filter. A phone that will not sync, a printer that will not print, a meeting that will not start. We help with the small things that slow your day, within the support terms of your plan.

Not sure which one you need? Call us and we will help you work it out. (316) 347-7630

We support a range of technologies used by small businesses and groups.

Not sure where to start?

Start by requesting a public-facing website security review of publicly observable information. To request the review, send us your web address. Do not send credentials or other sensitive information. We can review publicly visible portions of your website without logging in or requesting credentials and provide our observations in plain language. Asking does not require you to purchase services.
